Data Retention Policy
Retention periods for each category of record held by SuretyPH, and how records are disposed of once those periods end.

| Uploaded supporting documents | 10 years from the related application's closure | Underwriting file completeness |
| Quotations and acceptance records | 10 years from issuance of the quotation | Contractual and dispute record |
| Payment and commission records | 10 years from the transaction date | Tax and accounting requirements |
| Issued bond records | 10 years from bond expiry | Claims and renewal history |
| Messages exchanged on an application | 5 years from the last message | Service and dispute record |
| Audit log entries | 5 years from the recorded action | Security monitoring and accountability |

Storage and access during retention
Documents are kept in private, access-controlled storage. Files are never publicly downloadable; access is granted only to the uploading applicant, administrators, and the participating insurer assigned to that application, and every download is recorded in the audit log.
Disposal
When a retention period ends, records are deleted or irreversibly anonymized. Where a record is subject to an ongoing claim, dispute, audit, investigation, or legal hold, disposal is deferred until that matter is closed.
Deletion requests
You may request deletion of your account and records by writing to our Data Protection Officer. We will delete what we are not legally or contractually required to keep, and explain what must be retained and for how long.
Pilot-stage records
Records created during the pilot-testing stage are retained under the same schedule. If the pilot is discontinued, applicants will be notified before any bulk disposal of records.
